SUMMERPLACE IMPROVEMENT ASSOCIATION, INC. Vero Beach, Florida 32963
October 15, 2020
Dear Summerplace Neighbor,
This is your notice that the SIA annual meeting will take place on Saturday November 14, 2020 at 10:00am at 1995 W. Barefoot Pl.
In preparation for the 2020 SIA annual meeting and the election of officers of the Summerplace Improvement Association Inc., please find enclosed the documents necessary for our meeting and election. Of particular importance is the return of the following documents found in Section II of the annual mailing documents:
1. Voting certificate
2. Election ballot
3. Proxy, if you cannot attend the SIA Annual Meeting (See Proxy Instructions for details.)
On behalf of the SIA Board, the following is an overview of important matters the Board dealt with this year. Details of these actions are reflected in the Board Meeting Minutes which are available on our website, along with all relevant SIA documents at www.summerplaceflorida.com
Board Structure 2020:
The 2020 Board of Directors (BOD) consisted of John Lehnhardt – President, Bart Heikes – Vice President, Walter Garrard, Ronnie Lawn and Steve Melchiori. John Lehnhardt-Treasurer. Mary Beasman – Secretary. In March 2020 Ronnie Lawn stepped down from the BOD due to business/corvid concerns. Mary Beasman was appointed to the BOD by unanimous vote.
Legal Activities
The lawsuit against SIA by one of the association members remains ongoing. Our defense attorney is in regular contact with the Board providing updates as the lawsuit continues. As most of you are aware, those SIA members who are also participants in this lawsuit are legally prohibited from discussing anything regarding it. We appreciate your understanding of this.
New SIA Members during 2020:
Victor and Dhana Abbey – 1841 E. Shell Lane, full time residents.
Gina Bruce and Mike Baird – 1860 E. Shell Lane, part time residents/rental Dave and Kelly Koury – 1910 W. Shell Lane – part time residents
Kate McGough and Rick Anders – 1880 E. Shell Lane, Part full time residents
Rental Property issues
On July 1, 2019, the Board instituted a renter registration policy requiring all property owners to register their renters with the SIA Board 2 weeks in advance of the rental start. The property owners must also distribute the current SIA General Rules and Guidelines to each renter. We feel we had a good response to this new rule and received registrations for all rentals that we were aware of in 2020.
Parking Issues
Extensive ongoing construction on E. Barefoot at three different addresses both jointly and consecutively caused numerous parking issues on the street and around the cul-de-sac resulting in repeated complaints to the Board and a request for changes in our workman access and parking policy. The construction projects ended, and the parking issues resolved. The Board did not feel the need to alter current parking policies, just enforce them as they were intended by first warning, then towing if the violation continued.
Maintenance
1.Repairs were done in-house on both E. Pebble Path and E. Shell stairs in late 2019 due to high surf damage, as the contractor chosen for the job never showed up to do the work. E. Shell was slightly damaged again in May 2020. Minor support was done to shore it up. A high surf event in Sept. 2020 damaged all three stairways. Repairs were done in-house on all three SIA beach stairs and they are now safe and functional.
2. E. Shell Lane grading – significant drainage issues on the E. Shell Lane cul-de-sac were addressed by several grading projects. Though the runoff problem onto certain properties was improved, the road erosion is still significant. Further work is being considered to try to ameliorate the problem.
3. E. Barefoot also was regraded to rechannel drainage off individual properties. This seems to be working well.
4. Annual landscape trimming was completed in October. 5. Roads – All SIA roads were smoothed in May 2020.
2021 Annual Dues
An invoice for the SIA 2021 annual dues is enclosed is Section IV. The dues remain at $300 per lot as they have been for the last few years. Dues are payable by January 1, 2021. Please consider sending your dues when you return your ballot, voting certificate, and proxy.
Please give special attention to the following information regarding limited attendance at the 2020 Annual Meeting due to covid-19. For those members who qualify to attend the meeting on November 14, 2010, we will meet on Saturday, November 14, 2020 at 1995 W. Barefoot Place, starting at 10:00 a.m. Please bring your own chair.
On behalf of the SIA Board, thank you for your continued support. John Lehnhardt, SIA President
