Open SIA Board Meeting Minutes
Monday September 14, 2026 at 10am

Meeting was called to order at 10am
Attending: Board members Flax, Finn, Garrard, Melchiori and Lehnhardt.
Members: Tammie Lowe, Dave Wolfram
Review and vote on fencing proposal from 1801 E. Barefoot – it was moved, seconded and approved by a vote of 4 -1 (VP Finn was the no vote) that the project can move forward as submitted with the caution that the fence must be within the property line per the survey and screened by vegetation from the road.
Review of revised draft of ARC Guidelines – some edits were made to the document with input from both attending board members and members. One issue was the recurring reference to the Board where the ARC should have been the reference. A next draft has been distributed to the Board for one final review before printing and mailing September 30.
Determination of the location of the annual meeting – The annual meeting will be held in the driveway of 1995 W. Barefoot Pl. at 10am Saturday November 14, 2026. Thank you Steve and Holly Melchiori for hosting us once again.
Financial review – Proposed annual budget and current balance sheet were presented and will be posted on the website. We are nearing the end of the budget year and have only a couple more payments before the end of the month, like trimming along the roads. We currently have a balance of $33,766.80 in our accounts. We are proposing the annual dues remain stable at $300 per lot. We also expect to receive a significant refund from our previous road contractor either before the end of the year or shortly after new year.
Annual meeting refreshments – Tammie Lowe offered to help but not as coordinator. Thanks Tammie! We are still looking for someone to lead the process.
Annual Mailing costs review- Estimate of $330 for production, mailing and supplies. Food is additional. Was about $300 last year. All these costs are within our budgeted items for the year.
Review of sample mailing packet – the packet will include the revised ARC Guidelines, ballot, ballot envelope, return stamped and addressed ballot/ certificate/proxy envelope and required voting certificate, proxy form, proposed budget, FY 25-26 balance sheet and dues invoice.
